We are recruiting on behalf of one of our trusted partners for a highly organized and proactive Operations Coordinator to support the smooth execution of their day-to-day business activities. In this role, you will work closely with various teams to help streamline processes, manage administrative tasks, and ensure that operations run efficiently. Key Responsibilities


File & Folder Management

  • Audit and organize existing file structures in Dropbox and Google Drive.
  • Implement and maintain naming conventions, permissions, and folder hierarchies.
  • Ensure files are easily searchable and consistently categorized.
  • Manage access control, ensuring team members have appropriate permissions.


Operations Support

  • Assist with calendar coordination, scheduling, and internal communications.
  • Track and document internal workflows and processes.
  • Support administrative tasks such as preparing reports, creating spreadsheets, and maintaining databases.
  • Coordinate with various departments to gather updates, information, and ensure alignment on priorities.


Project Assistance

  • Support cross-functional teams with documentation and project-related tasks.
  • Assist in onboarding new team members by ensuring they have access to relevant folders and documentation.
  • Help with setting up SOPs and improving operational workflows.


Requirements


  • Proven experience managing file structures in Dropbox and Google Drive.
  • Strong organizational and time management skills.
  • Proficiency in productivity tools (e.g., Google Workspace, Excel/Sheets, task management software like Asana or Trello).
  • Ability to handle confidential information with discretion.
  • Strong communication skills and a proactive mindset.
  • Experience in an operations, administrative, or coordinator role preferred.
