We are recruiting on behalf of one of our trusted partners for a highly organized and proactive Operations Coordinator to support the smooth execution of their day-to-day business activities. In this role, you will work closely with various teams to help streamline processes, manage administrative tasks, and ensure that operations run efficiently. Key Responsibilities
File & Folder Management
- Audit and organize existing file structures in Dropbox and Google Drive.
- Implement and maintain naming conventions, permissions, and folder hierarchies.
- Ensure files are easily searchable and consistently categorized.
- Manage access control, ensuring team members have appropriate permissions.
Operations Support
- Assist with calendar coordination, scheduling, and internal communications.
- Track and document internal workflows and processes.
- Support administrative tasks such as preparing reports, creating spreadsheets, and maintaining databases.
- Coordinate with various departments to gather updates, information, and ensure alignment on priorities.
Project Assistance
- Support cross-functional teams with documentation and project-related tasks.
- Assist in onboarding new team members by ensuring they have access to relevant folders and documentation.
- Help with setting up SOPs and improving operational workflows.
Requirements
- Proven experience managing file structures in Dropbox and Google Drive.
- Strong organizational and time management skills.
- Proficiency in productivity tools (e.g., Google Workspace, Excel/Sheets, task management software like Asana or Trello).
- Ability to handle confidential information with discretion.
- Strong communication skills and a proactive mindset.
- Experience in an operations, administrative, or coordinator role preferred.
