The Facility Manager is responsible for the effective management of the company’s buildings, grounds, infrastructure, and services to ensure they meet organizational needs. The role includes overseeing maintenance, security, space planning, and vendor management to maintain high operational standards.
1. Facilities Management
· Ensure uninterrupted daily operation of all physical workspaces and utilities.
· Supervise preventative and corrective maintenance of infrastructure and equipment.
· Conduct routine inspections to maintain compliance with building, safety, and operational standards.
· Plan and implement both short-term fixes and long-term improvements for facility sustainability.
2. Project Management
· Lead facility-related projects including renovations, upgrades, relocations, and new site openings.
· Coordinate between internal departments, consultants, and contractors.
· Manage project timelines, scope, and cost — ensuring quality and on-time delivery.
· Obtain necessary permits and approvals for any facility-related work.
3. Office Administration
· Oversee space utilization, workplace ergonomics, and desk allocations.
· Ensure availability of essential office supplies, equipment, and administrative services.
· Manage shared services like reception, courier, and document archiving functions.
4. SFM (Soft Facilities Management) & HFM (Hard Facilities Management)
· Soft FM: Manage cleaning, pest control, landscaping, catering, concierge services, and general workplace hospitality.
· Hard FM: Maintain building systems including HVAC, plumbing, electrical, elevators, and life safety systems.
5. Hospitality & Catering
· Oversee food and beverage services for employees, events, and guest visits.
· Ensure vendor compliance with food safety and hygiene standards.
· Manage daily catering operations and evaluate service quality and cost-efficiency.
6. Event Support
· Organize logistics and infrastructure support for internal and external events.
· Prepare venues, audio-visual systems, furniture, and catering.
· Coordinate across departments for seamless execution of meetings and functions.
7. Contracts & Vendor Management
· Draft and review contracts including Scope of Work (SoW), SLAs, and KPIs for all vendors and services.
· Conduct vendor evaluations and SLA performance reviews regularly.
· Handle contract renewals, dispute resolution, and compliance tracking.
· Maintain a vendor database and service history.
8. Budgeting & Strategic Planning
· Prepare and manage facility budgets (OPEX & CAPEX) with monthly/quarterly reporting.
· Develop short-term and long-term strategic facility plans based on business growth and needs.
· Recommend and implement cost-saving initiatives and operational efficiencies.
9. Safety & Compliance
· Implement and monitor compliance with Civil Defense (CD) regulations, fire safety codes, and emergency response protocols.
· Ensure readiness for audits, drills, and inspections from authorities.
· Coordinate fire alarm testing, evacuation drills, and safety training sessions.
10. Governmental Approvals & Licensing
· Manage application, renewal, and compliance of municipality trade licenses, Civil Defense (CD) approvals, and other statutory certifications.
· Liaise with local authorities (e.g., Municipality, Civil Defense, Public Health) to ensure regulatory compliance.
· Maintain updated documentation, approvals, and legal files required for facility operation.
11. Policy Implementation
· Enforce internal workplace policies related to facility use, visitor access, safety, and maintenance.
· Ensure alignment with organizational standards, legal obligations, and ESG/sustainability goals.
· Review and update policies as needed, in collaboration with compliance and legal teams.
12. Landlord (LL) Coordination
· Act as the main point of contact with landlords and property management firms.
· Manage lease agreements, escalation processes, and service-level expectations.
· Coordinate with LL for permissions, renovations, inspections, and infrastructure issues.
13. Security Management
· Oversee security operations, including access control, surveillance systems (CCTV), visitor registration, and emergency response.
· Collaborate with security vendors to ensure proper staffing and adherence to SLAs.
· Support incident reporting, investigations, and risk mitigation measures.
