About the Role

A leading Insurance Brokerage firm in Dubai is seeking a highly organised and proactive Executive Assistant to support senior management and ensure smooth day-to-day administrative operations. This is a dual-role opportunity that combines office management responsibilities with executive-level support, offering exposure to both internal operations and client-facing activities.

The ideal candidate should be detail-oriented, possess strong communication skills, and be keen to grow professionally within the insurance industry.

Key Responsibilities

  • Act as the first point of contact for client queries, providing professional and courteous service.
  • Manage and maintain administrative files, including agreements with insurance providers and service vendors.
  • Coordinate with outsourced employment service providers on visa, labour, and related documentation.
  • Handle daily office administration tasks, including coordination with IT support, printing, procurement, and facility maintenance.
  • Maintain and manage the CEO’s calendar, appointments, and meeting schedules.
  • Assist in drafting documents, correspondence, and reports.
  • Learn and support internal insurance processes and maintain a working knowledge of key insurance products.
  • Efficiently use insurance company portals and adapt to new software and systems as needed.
  • Preference given to candidates familiar with UAE culture, ideally raised in the UAE.

متطلبات الوظيفة

  • Bachelor’s degree or diploma in Business Administration or related field.
  • 4–6 years of experience in administration, executive support, or office coordination roles, preferably within the UAE.
  • Strong organizational and time-management skills with attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to handle confidential information with discretion.
  • Proactive and willing to learn about insurance operations and systems.
  • Familiarity with UAE business culture is an advantage.
