Who we are:

Al Marwan Group is a holding company established in 1978, Al Marwan Group has grown a strong diversified portfolio in Real Estate Development & Management, Hospitality, General Contracting and Heavy Machinery trading of brand new and used equipment for the Construction, Mining, Oil, and Gas industries.

We are currently looking for a highly skilled and motivated Executive Assistant to join our team.

Job Scope:

Providing high-level administrative support to top management within the company.

Ensure the smooth operation of the executive's daily activities and the overall efficiency of the office.

Job Duties:

  • Organize and prepare for meetings or specific events , including setting agendas and taking minutes of meeting.
  • Managing the executive's calendar to avoid conflicts and ensure timely attendance.
  • Answer and screen phone calls, directing inquiries and messages appropriately.
  • Compose professional correspondence (letters, emails, memos) based on clear instructions.
  • Manage and prioritize emails to ensure timely responses and follow up.
  • Acting as a point of contact between the executive and internal/external stakeholders.
  • Organizing travel plans, including booking flights, accommodations, and transportation.
  • Preparing and editing reports, presentations, and other documents.
  • Create and maintain accurate and organized electronic and paper filing systems
  • Overseeing office supplies and equipment.
  • Assisting with special projects or other duties as required from management.
  • Handling sensitive information with utmost confidentiality and professionalism.

Qualifications:

Education:

  • Bachelor's degree in business administration or a related field.

Experience:

  • Minimum 3 to 5 years proven experience in administrative assistance roles is typically required from the Real Estate Development / Constructions sectores , with experience supporting senior management being highly valued.

Other Requirements:

  • Strong organizational and time management skills with the ability to prioritize and manage multiple tasks simultaneously.
  • Excellent written and verbal communication abilities in English and Arabic.
  • Professionalism in interacting with clients, colleagues, and senior management.
  • Proficiency in office software, such as Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with scheduling tools and project management software.
  • Ability to anticipate and address issues proactively.
