About Role:

We are seeking an organized and goal-driven Office Administrator to ensure smooth operations within our business. In addition to welcoming visitors and handling phone calls and emails, you will have the chance to influence our office management practices.


Responsibilities:

Here are the main responsibilities:


  1. Coordinate company-wide activities to maintain efficiency and compliance with company policies.
  2. Manage schedules, travel arrangements, and appointments for the senior management.
  3. Handle emails, letters, packages, phone calls, and other communications.
  4. Support the company’s bookkeeping and budgeting procedures.
  5. Create and update databases and records for financial information, personnel, and other data.
  6. Monitor and replenish office supplies to prevent disruptions in front office operations.
  7. Purchase office necessities, including supplies, furniture, and equipment.
  8. Oversee building maintenance tasks such as air conditioning, painting, and cleaning.
  9. Process work permits and visas.
  10. Prepare and submit reports and proposals as required.
  11. Assist colleagues whenever possible.


Requirements:

Here are the qualifications and skills required:


  • A high school diploma or higher.
  • A degree or qualifications in secretarial studies are advantageous.
  • A bachelor’s degree in a relevant field (e.g., business, management, human resources) is preferred.
  • Excellent leadership, time management, and organizational skills.
  • Proven experience as an office assistant, office administrator, or similar job role.
  • Strong communication skills, both written and verbal.
  • Knowledge of office procedures and the basic accounting principles.
  • Proficiency in Microsoft Office and other office management tools.
  • 3-5 years of experience in a similar job post.
