Job Purpose

Our client, a multinational company, requires an Administrative Assistant to perform a variety of administrative and clerical tasks. The duties of the Administrative Assistant include providing support to our managers and employees, assisting with daily office needs, and managing our company’s general administrative activities.
Essential Duties And Responsibilities
- Handling administrative requests and queries from senior managers
- Provides support to the customer service team to manage accounts
- Organizing and scheduling appointments and maintaining calendars with admin software.
- Answer phones and greet visitors.
- Schedule and coordinate meetings
- Collate and distribute mail.
- Prepare communications such as memos, emails, invoices, reports, and other correspondence.
- Write and edit communications, from letters to reports and instructional documents.
- Create and maintain filing systems, both electronic and physical
- Update and maintain office policies and procedures.
Essential Duties And Responsibilities
- Order office supplies and research new deals and suppliers.
- Maintain contact lists.
- Book travel arrangements
- Must collaborate with other administrators and support personnel, management, and clients on a regular basis.
- The ability to maintain order helps ensure executives don’t miss appointments or deadlines.
- Assist employee, Marketing, Finance, HR and Management for any other task they may require
- In charge of liaising with the bank account manager and officers for all matters related to the company’s bank account.
- Handling process of employee and employee family members, labor cards, insurance and residence visas liaising with the company PRO
- Maintains and reports employee’s expense forms
- Responsible for keeping office in order, including bill payments, IT related issues, office maintenance, office supplies replenishments, and the like.
- Prepares time sheet and annual leave summary reports.
- In charge locally for any related responsibilities from preparations up to finish of a tradeshow/event.
Requirements and Skills:
- Proven experience as an Administrative Assistant or Office Admin Assistant.
- Knowledge of office management systems and procedures.
- Having knowledge and experience of UAE governmental rules, labor process,visa applications, on boarding
- Working knowledge of office equipment, like printers and fax machines.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Preferably SAP or an other ERP knowledge
- Preferably Sales Force or an other CRM knowledge
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
- A bachelor’s degree: additional qualification as an administrative assistant or Secretary will be a plus.
