About Role: The role will provide administrative support to UAE business.

Key responsibilities and duties are listed, but not limited to, the below: -

  • providing a broad range of general administration support
  • creating and setting up of electronic databases, logs and registers using MS Excel
  • assisting with procurement of goods and services and supplier selection
  • assisting with periodic supplier evaluations
  • maintaining database of and arranging forwarding and recall of archived information
  • training colleagues on Digital and SharePoint techniques
  • assisting with various projects including mobilisation, space-planning, office recovery plans, re-organisations, and modifications etc.
  • perform administrative tasks such as travel arrangements, hotel bookings and transportation.
  • organise meeting requests and schedule of meeting rooms via Outlook calendar
  • assist in the preparation of project reports, draft correspondences and memos.
  • follow up of weekly timesheets.
  • support the senior team admin with shared responsibilities as delegated.

Essential candidate requirements: -

  • Educated to Diploma level
  • Good interpersonal and communication skills
  • Proven high standard of administrative skills
  • Experience of setting up of extensive filing and monitoring systems
  • Must have advanced Excel knowledge and experience, be comfortable with manipulating electronic data accurately
  • Highly organised with strong time management skills to prioritise daily workload
  • Familiarity with Outlook Email
  • Acceptable level of MS Word skills
  • Numerate with excellent level of accuracy and

Desirable candidate requirements: -

  • Educated to Degree level
  • Prior experience of working within a global organisation
  • MS PowerPoint skills
  • Visio/InDesign skills
  • Secretarial experience attention to detail
  • Ability to multi-task and work under pressure
  • Uses initiative to suggest solutions to problems encountered
  • Ability to be resourceful and proactive in dealing with issues/obstacles that may arise at any time
  • Positive, resourceful, and flexible with a pro-active solution-focussed attitude.
