ROLE SUMMARY:

The Procurement Coordinator supports the Head of Operations for ensuring school orders are sourced and supplied in a timely and efficient way that ensure the smooth and continuous operations of all departments at the school.

KEY RESPONSIBILITIES:

  • Direct activities and operation of the purchasing requirement (e.g. central receiving, inventory control, work requests, stores and warehousing/distribution activities, workflow, etc.) for the purpose of ensuring that assignments are completed in a safe, proper and timely manner.
  • Prepare and send daily, weekly, and monthly reports concerning procurement and warehouse to the head of operations.
  • Communicate with other department personnel regarding purchasing needs, policies, procedures, and related issues for the purpose of advising school and departments in areas related to current purchasing procedures and the use of forms and legal issues related to purchasing.
  • Negotiates with vendors for equipment, furniture, supplies and materials as required (e.g., method of procurement, quotations, best supply sources, pricing, inquiries, etc.)
  • Prepare orders specifications, scope of work, KPIs, contracts drafts, RFQs and RFPs.
  • Manage warehouse functions (e.g., furniture assembly, purchase order entry, receiving/ordering stock, etc.) for the purpose of providing coverage to the warehouse as may be required.
  • Assist the Head of Operations & Safeguarding lead when required.

THE IDEAL CANDIDATE WILL HAVE:

  • Bachelor’s degree.
  • In-depth working knowledge of Procurement. A minimum of 3+ years’ experience in the same position.
  • Confidence with use of MS Excel, Word, and PowerPoint.
  • Fluency in English at an academic standard.
  • Understanding the legal and financial aspects of building with the ability to deliver significant and sustained cost control without detriment to the overall quality of service being provided.
