Job Purpose:

Responsible for handling front office reception and administration duties, including greeting guests, reception duties, sorting and distributing mail, as well collecting quotations from suppliers.

DUTIES &RESPONSIBILITIES:

Reception role:

  • Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department.
  • Take messages from callers and relay to company staff when needed.
  • Answers questions about organization and provides callers with address, directions & etc.
  • Welcome on-site visitors determine nature of business and announce visitors to appropriate personnel.
  • Monitors visitor access and Proxy registration for each visitor.
  • Create courier bill of ladings for different destinations locally & internationally upon request.
  • Issue security permits for the outgoing equipment from the HQ office.
  • Submit attendance sheet of housekeeping team/ office boys to the administration manager.
  • Record entrance of facility workers and maintenance technicians to the office.


Purchasing role:

  • Collect initial quotations from supplies via phone calls or meetings.
  • Update supplier data sheet and record related suppliers assessment on monthly basis.


REQUIREMENTS:

  • 1-5 years of total relevant experience.
  • Bachelor's degree or equivalent.
  • Ability to set up and organize database and Spreadsheets.
  • Ability to efficiently use MS Office (Word/ Excel/PowerPoint)
  • Good knowledge of dealing with Local and international vendors.
  • Knowledge of ERP Systems is a plus.
