Job Purpose:
Responsible for handling front office reception and administration duties, including greeting guests, reception duties, sorting and distributing mail, as well collecting quotations from suppliers.
DUTIES &RESPONSIBILITIES:
Reception role:
- Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department.
- Take messages from callers and relay to company staff when needed.
- Answers questions about organization and provides callers with address, directions & etc.
- Welcome on-site visitors determine nature of business and announce visitors to appropriate personnel.
- Monitors visitor access and Proxy registration for each visitor.
- Create courier bill of ladings for different destinations locally & internationally upon request.
- Issue security permits for the outgoing equipment from the HQ office.
- Submit attendance sheet of housekeeping team/ office boys to the administration manager.
- Record entrance of facility workers and maintenance technicians to the office.
Purchasing role:
- Collect initial quotations from supplies via phone calls or meetings.
- Update supplier data sheet and record related suppliers assessment on monthly basis.
REQUIREMENTS:
- 1-5 years of total relevant experience.
- Bachelor's degree or equivalent.
- Ability to set up and organize database and Spreadsheets.
- Ability to efficiently use MS Office (Word/ Excel/PowerPoint)
- Good knowledge of dealing with Local and international vendors.
- Knowledge of ERP Systems is a plus.
