What You'll Be Doing
The Executive Assistant is responsible for high-level administrative support by conducting research, preparing statistical reports and presentations, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
Main Responsibilities
- Manage the Manager's diary and appointments
- Screen incoming calls and correspondence and responds independently when required
- Review selected documents that come to the Office of the Manager and make recommendations
- Liaise with relevant individuals, departments, and external customers and suppliers
- Assist in presentations and other reports and documents as needed
- Manage in coordination with travel department travel plans, itineraries, expenses
- Assist in planning and organizing visits of selected visitors
- Create and maintain database and spreadsheet files
- Follow-up on progress of directives and projects managed by the Manager
- Conduct research and prepare statistical reports
- Arrange and coordinate events
- Handle all digital archiving of documents, records, and reports
- Perform general office duties such as ordering supplies, maintaining records management systems,...
- Project Coordination:
- Support with the smooth running of projects: from inception to implementation, from coordinating with relevant parties to organizing needed meetings/sessions including scheduling meetings, preparing agendas, documenting meeting minutes, and following up on action items, also, from proactively liaising with all relevant stakeholders and reporting key information
- Participate in and in some instance lead the creation of reports, presentations, analysis, status updates, progress documents and so on as per project priorities
- Conduct necessary research and information gathering when relevant
What You’ll Need To Succeed
University Degree in Business Administration or equivalent (Master or MBA preferred) / Project Management Certifications are a plus (i.e. PMP)
Minimum Of 6 Years Of Relevant Experience
Relevant experience in project management, presentations and reports preparations
Experience with social media and communications tools
